Give each creator post its own stable identifier and row. Track what ran and when. Save the cost, the response, the next step, and the age of the result.
A screenshot can prove a number. It cannot run a sound data system.
Start with the row, not the dashboard
Most creator reports look fine until someone asks a basic question. Which post drove the sign-ups? Were those views paid or organic? Was that result read after three days or 30? Did a blank mean zero, not ready, not shared, or not relevant?
If the team cannot answer, a nicer chart will not help. The source record is broken.
This is the operating standard we recommend at Creators Agency. It is not a law. It is not an official Interactive Advertising Bureau (IAB) standard. It is a practical way to keep the facts that a campaign team needs.

The branded workbook has the six linked tabs, set values, example rows, and checks in this guide. All sample values are made up. Replace them before use.

Use this base rule:
One activation row = one creator, on one platform, for one piece of content, with one first-live time.
That means:
- One YouTube ad read in one video is one row.
- A link in the video notes and a link in a pinned comment can share the post row. Each link still needs its own tracking row.
- One Instagram Reel and three Stories are four rows when they have their own links, times, or results.
- One podcast host read in four shows is four rows.
- One organic TikTok that later runs as an ad has one organic row and at least one paid-flight row.
Do not put YouTube + Instagram + TikTok in one platform cell. Do not put three links in one URL cell. If two things can have a different date, fee, right, or result, they should not be trapped in one row.
Use six linked tabs
The workbook should work before the team buys new software. Quality assurance appears in a tab named QA.

This layout is more useful than one giant sheet. It also maps to a database later.

The angle field is easy to skip. Keep it. If a brand runs three posts with one creator, each post should teach the team something. The data must show what changed.
Dates and state

Do not put late June in a date field. That belongs in a note.
Cost and rights

Rights data belongs next to campaign data. If it lives only in a contract file, an ad team can miss the end date.
Keep a new Results row for each read
One post can have many report rows. It may have a one-day check, a seven-day read, a main read, and a later review. Do not let the new row erase the old one.

If clicks are weak but people who click buy, the post may need a better hook or call to action. If clicks are strong but sales are weak, check the page, offer, fit, and sign-up flow. The full path keeps the team from blaming the wrong part.
Keep paid use in its own table
Use this row rule:
One paid-flight row = one activation, one ad account, one run window, one audience plan, and one spend cap.
Save the paid-flight ID, linked activation ID, ad platform, ad account, start and end, spend cap, actual spend, paid impressions, clicks, sales, and paid link name.
Do not add paid views to organic views and call the sum creator reach without the split. The paid media helped cause the paid result. The post fee and the media budget also do different jobs.

The path moves in a sane order. There are 2,100 clicks, 1,870 site visits, 620 sign-ups, 280 account opens, and 96 funded accounts. A tool should flag a row where sign-ups are far above site visits. That may be valid due to cross-device use or a data rule. It still needs a note.
A blank is not a status
Use these set values in result fields:
0: The team measured zero.NA: The field does not fit this post.UNAVAILABLE: The field fits, but the source does not give or share it.PENDING: The result is not ready yet.ERROR: A link, import, or source failed.
This rule stops a common error. It keeps a missing value from becoming a zero and making a good post look like a failed post.
Treat the data dictionary as part of the product
Each field needs a plain name, data type, unit, set values, source, main owner, review owner, update pace, math, limits, and last rule check.
Take engagement_rate. The name alone is not enough. Write the math:
engagement_rate = (likes + comments + shares + saves) / organic_views
Another team may use reach as the base. Both can be useful. They should not share one label with no note.
The JSON Schema in the free kit makes set values and field types clear for a system import. It also requires a named study method before a numeric added-revenue field can pass.
Name the owner of each fact

One team should own the file. One person does not need to own each fact.
Creators should see as much useful result data as they want. Some want the full report. Some want a short view. Do not use a low need for detail as a reason to hide facts that can make the next post better.
Report on more than one clock

Do not call a slow sale a failure after two days. Do not wait 90 days to find a broken link.
Put hard checks in the workbook
Fix these rows
- An activation ID is blank or used twice.
- A live post has no URL or live time.
- A report date is before the post date.
- A rights end date is before its start date.
- A money field has no currency.
- A paid result has no paid-flight ID.
- Actual ad spend is over the agreed cap.
- An added result has no named test method.
- A final report still has a blank or unexplained pending field.
Review these warnings
- Counts rise as people move down the path.
- Site visits are far above tracked clicks.
- Paid impressions exist but paid spend is blank.
- One link appears on two post IDs.
- A result has no source file or report link.
- A metric rule changed during the campaign.
- A right ends in the next 14 days.
Some warnings will be valid. Ask for a note. Do not erase the row.
IAB work points the same way, but this is not that standard
IAB released Campaign Data Standards 1.0 as a proposed framework in May 2026. The first release covered core ad and goal taxonomies. IAB said a final version was due in the fourth quarter of 2026.
That work matters. It does not turn this schema into an IAB standard. This is a creator campaign record a team can use now. When IAB releases a final version, map the data dictionary and set values where that helps.
Use the record to make the next post better
Brands know the product and their own sales path. Creators know their audience. A useful report lets both sides bring that knowledge to the next post.
If a post does well, a new deal can use a fair base fee plus upside. If a post does poorly, the team can see if the issue was reach, the call to action, the page, the offer, or the fit.
The data should make the work smarter. It should not be saved for a rate fight.
A clean record also makes the brand result report, campaign post-mortem, lift test, and creator marketing mix model much easier to build.
